In my journey working in talent acquisition for multiple profiles and serving as a Training and Placement Coordinator (TnP) in college, I’ve come across countless emails. Some stand out beautifully, while others, unfortunately, miss the mark.
From students to seasoned professionals, one thing remains common—email mistakes that cost opportunities.Here are a few real and recurring issues I’ve observed:
💼 Irrelevant or vague subject lines:
Recruiters receive hundreds of emails daily. Irrelevant subject lines gets lost in the crowd. Specificity is key!
✅ Be clear and precise, e.g., “Application for [Role Name] – [Your Name]”
✉️ Blank or unclear email body:
Simply attaching your CV / resume / document without explaining the purpose or role you're applying for leaves the recipient guessing.
📇 Missing or incomplete contact information:
A lack of details in the email body or a missing email signature can lead to missed follow-ups, even if your resume is impressive.
📎 Poorly named attachments:
File names like “Resume(1).docx” or “Final CV.pdf” can seem careless.
✅ Use a professional format like “YourName_Roleapplied”.
From my experience:
I once received an email with the subject line “SKILLS- PYTHON | SQL etc.” The body was blank, and the resume was attached with the name “CV_Final2(1).docx.”
While the email wasn’t ideal, I decided to review the resume—and the candidate’s profile turned out to be strong enough to advance to further rounds.
Every email is a reflection of your professionalism and attention to detail. Take that extra minute to craft a thoughtful email—it can make all the difference.
